This Privacy Policy describes how we collect, use, disclose, and retain information when you use Guardi's services, including our mobile application, backend services, hardware access controllers, and marketing website (collectively, the "Service").

1. Who this policy applies to

This Privacy Policy applies to:

  • Website visitors who browse our marketing site or submit inquiries.
  • End users — including residents, property managers and administrators, security guards, staff, and other individuals — who use the Guardi mobile app and related services.
  • People whose information is submitted by others, such as guests added through visitor passes or residents added by administrators.
  • Authorized partners and distributors who access or distribute the Service.

If you use Guardi through a property or community that administers your account (an "Admin"), the Admin may control certain settings and may have access to information associated with your account in accordance with their own policies.

2. Information we collect

A. Information you provide

  • Account and profile information, such as your name, phone number, language preference, and (where applicable) email address, job title, or profile photo.
  • Communications and content, such as chat messages, announcements, documents, images, or other files you submit through the Service.
  • Guest and visitor information, such as a guest's name and phone number when you create a visitor pass.
  • Community information, such as a community name or address when you create or join a community.
  • Contact form submissions, such as your name, email, and message when you submit an inquiry through our website.
  • Guard workflow information, such as details submitted when registering an access request.

B. Information collected automatically

  • Device and technical data, such as device platform, app version, and push notification tokens necessary to deliver notifications.
  • Network and security data, such as IP addresses and request metadata collected for security, abuse prevention, and rate-limiting purposes.
  • Crash and diagnostic data, including error reports, performance metrics, and device information. In production, our mobile app may use session replay tools to help diagnose issues; session replay may capture interactions such as taps and navigation. We use reasonable controls to limit the capture of sensitive information in diagnostic data.

C. Permissions-based information

Depending on how you use the app, you may grant access to:

  • Camera: to scan QR codes for access control.
  • Contacts: to select a guest's phone number when creating a visitor pass. We do not upload or store your contact list.
  • Location (when in use): for community-related features such as discovery and verification. We do not continuously track your location.
  • Bluetooth: for hardware controller setup and supported offline access features.
  • Photos and files: to upload images or documents.

You can deny or revoke these permissions at any time through your device settings. Some features may not function without them.

D. Information generated through use of the Service

  • Access control records, such as entry and exit events, outcomes, and related metadata.
  • Billing and financial records, such as charges, payments, balances, and statements generated within the Service.
  • Reservation records, such as facility bookings.
  • Community and moderation records, such as membership status, invites, and moderation actions.

3. Information submitted by administrators

Administrators and authorized staff may add or update information about other individuals (such as residents, personnel, or guards) in connection with operating their property or community. This may include names, phone numbers, unit or residence details, and other information the administrator chooses to provide.

If you are an administrator, you represent and warrant that you have the legal authority and any required permissions or consents to submit such information and to administer your property or community's use of the Service. Guardi processes this information on your instructions as part of providing the Service.

4. How we use information

We use information to:

  • Provide and operate the Service, including authentication, access control, communications, billing records, reservations, community features, and related functionality.
  • Maintain safety and security, including abuse prevention, audit trails, and policy enforcement.
  • Send communications, including service notifications, alerts, and reminders.
  • Provide support, respond to inquiries, and troubleshoot issues.
  • Improve reliability and performance, including crash diagnostics and system monitoring.

5. How we share information

A. Service providers

We use third-party service providers to help operate the Service, including providers of messaging, push notifications, cloud hosting and storage, and crash and error reporting. These providers process information on our behalf under contractual obligations.

B. Within your property or community

Administrators and authorized users for your property or community may access certain information within the Service (such as communications, operational records, and access logs) in accordance with their role and permissions.

C. Hardware controllers

Hardware access controllers deployed at doors, gates, or barriers exchange information with our backend to operate access control functionality.

D. Distributors and authorized partners

If you access the Service through an authorized distributor or partner, we may share information with that distributor as necessary to provide the Service, handle billing, or deliver support. The distributor's use of your information is governed by their own privacy practices and applicable local law.

We may disclose information if we believe it is reasonably necessary to:

  • Comply with applicable law, regulation, or legal process.
  • Protect the rights, safety, or security of our users, communities, or the Service.
  • Prevent fraud, abuse, or security incidents.
  • Support a merger, acquisition, financing, or sale of business assets (subject to appropriate protections).

We do not sell personal information.

6. Analytics and diagnostics

We use diagnostic tools to understand app stability and performance. In production, the Guardi mobile app uses crash reporting and performance monitoring and may use session replay for debugging. Session replay can capture how you interact with the app (such as taps, navigation, and rendered interface states).

7. Your choices and controls

  • Notification preferences: You can manage notification categories in the app and disable push notifications at the operating system level.
  • Device permissions: You can grant, deny, or revoke camera, contacts, location, Bluetooth, and file permissions through your device settings.
  • Profile information: You may update certain profile information in the app. Administrators may manage additional information for their property or community.

8. Data retention

We retain information for as long as reasonably necessary to provide the Service and to fulfill legitimate business, safety, legal, and regulatory purposes. Retention periods vary by data type and purpose. When information is no longer needed, we delete or de-identify it in accordance with our internal policies.

9. Security

We implement technical and organizational measures designed to protect information, including access controls and cryptographic protections for certain workflows. However, no method of electronic transmission or storage is completely secure. You use the Service at your own risk.

10. Children's privacy
